Sage 200 Standard Online

A step up from Sage 50

Many Sage 50 users who have outgrown the program rely on it, even though it may be bursting at the seams, because Sage 200 has been a very expensive upgrade. License costs, new hardware and consultants soon add up to at least £20k

To fill this gap, Sage have produced a cut down version of Sage 200, called Sage 200 Standard Online. As it is online, there is no requirement for a server or other new hardware. Just a PC and a fast internet connection. The license costs £240 pm for 3 users and 1 company. Additional users cost £15pm.

So what advantages does it have over Sage 50?

  1. SQL Server Database. This is a major improvement in stability over the "flat file" Sage 50 database
  2. The nominal hierarchy has three levels account, department and cost centre
  3. Ability to close periods by ledger and period end dates can be defined
  4. Products can have multiple sites and bin locations
  5. Prior year audit adjustments
  6. Landed Costs
  7. Returns
  8. Receipts in currency other than invoice currency
  9. Excel Reporting
  10. 5 analysis codes list based

What's missing?

  1. Bill of Materials
  2. Project Accounting
  3. Only one contact per customer

Sage Payments vs e-banking

Sage has had ebanking time on both Payroll and Accounts. It is very useful for businesses with a premium bank account that provides internet banking. However, these accounts can be expensive and are often regarded as a luxury by SMEs.

SagePayments is a new service from Sage and SagePay that provides users with an electronic wallet to pay suppliers, employees and HMRC directly from Sage Accounts and Payroll.

There is a monthly subscription for the service which gets cheaper the more payments you make

Whenever a payment is made in Sage from the SagePayments Bank Account, it is automatically loaded on to the SagePayments website for authorisation by the designated approver. This saves the need to enter the payment on your banking website, which removes any risk of paying the wrong amount, forgetting to pay it or paying twice!

If you make international payments, banks charge around £15 per transaction so you can recoup the cost quickly. If you gauge your subscription correctly GBP payments can cost less than 20p each. Compare this with the invoice from your bank!

Auto Back Up Monitor

The Situation

The auto-back up feature of Sage 50 Accounts v21 (and newer) is excellent as it saves you from having to remember to take regular backups of your accounts data. If your data corrupts then you can quickly and easily restore a backup and carry on working.

Unfortunately, it is not be quite as straight forward as that...

The Problem

Your accounts data will be backed up as frequently as you have scheduled it to, but if your Sage Accounts data has errors, the backups will contain the errors. The Data Check detects the errors but it does not tell you that errors have been found.

As and when the errors start affecting your accounts processing, you will be able to restore a backup, but if the backup was taken after the errors occurred, then the errors will still be present in the backup. Depending on how many historical backups you keep, you might be able to restore a pre-corruption/error backup, but the problem with this option is all the re-processing that would be required.

Data corruption can be expensive to repair, and while data is being repaired you cannot work in accounts and you might still have reprocessing to do when the data is returned.

The Solution

The Auto-backup Monitor can save you from the massive inconvenience and expense caused by corrupt data.

Once the Auto-backup Monitor is configured, within seconds of each scheduled Sage Accounts backup completing, an email notification is delivered to any specified contacts. The email simply reports that the backup has completed and if the data is okay, or has any warnings or errors. If errors are reported, you can quickly and easily log your accounts users out, and restore the last error-free backup. No need to pay for data repair, no downtime waiting for the data to be returned and minimal (if any) reprocessing.

As you can specify who receives the notifications, you can include me or several members of staff so that should anyone be on annual leave the notices will be picked up by someone else.

The Auto-backup Monitor is available on annual subscription for £225 p.a. This means that it will always be updated when a new version of Sage is released and you can decide not to renew if Sage incorporates a similar facility in the future

When you get your SageCover renewal invoice, bear in mind that you can choose to terminate your contract, it is not compulsory.

However, you will probably want telephone support and or automatic upgrades to your Sage program

Access your accounts data whenever and wherever you want; at home, in another office or on the go via a smartphone or tablet. You can also share live data securely with your accountant, so there's no downtime while they work on your accounts.

Work from home  A connected user can install Sage 50 on a PC and use it to connect to their Sage Drive data. You get one connected device for free. Additional devices cost £5 pm.

Accountant  You can nominate an accountant who can work on your accounts. If he has a copy of Client Manager, he will not use up one of your licenses. No need to send backups to your accountant at year end!

You can now buy online support for a year and get upgraded to the current version starting from £346. In addition, KF Systems will provide telephone support for the year. At the end of the contract you can decide whether or not to renew. Note this option is more expensive than the equivalent annual subscription cost of £192.50 p.a., but with a subscription you do not retain the right to use the software if you stop paying for it.

SagePay and Sage 50 Accounts

SagePay is the ideal payment portal for Sage 50 Accounts users.

Once you are signed up to SagePay, you enter your account details in Sage. Go to Settings, Company Preferences

and enable SagePay.

There are three uses for SagePay:

1. "Pay by Card" button on Sales Orders, Sales Invoices and Customer Receipts. This takes you to a portal that allows you to take payment details over the phone.

2. SagePay link on your invoices. Your emailed invoices allow your customers to pay by card and you can then process the reports in your SagePay portal to update your accounts

3. Webshop sites can also be configured to use SagePay and can be integrated with Sage 50

Subscriptions are the new way to buy Sage Accounts. You choose to pay Sage annually or monthly by Direct Debit and in return you get the following benefits:

Charity begins with Sage

Sage Accounts is very good for charities.

Sage have always offered a discount on their software specifically for charities.

In addition, Sage has features that can be turned on when doing the accounts for charities.

Fund Accounting allows a charity to account for funding that is tied to specific activities within the accounts of the organisation. This is very important for overseeing he governance of the charity. Sage allows up to 9,999 separate funds to be maintained. An additional reporting program is available from KF Systems that allows for the reporting of funds in Excel spreadsheets.

When you set up Sage for charities, the chart of accounts is set up for charity reporting. Donations can be associated with customers when they are entered into a Bank Account. Each customer has the facility to record details for Gift Aid. (this cannot replace the actual Gift Aid declaration). There is also a facility for recording donations under £20 under the small donations scheme. HMRC does not have a Gateway like they do for VAT but they do allow the upload of spreadsheet files for Gift Aid claims. Sage Accounts has the ability to create the spreadsheet files in the right format for these submissions.


Extra Cover Offer

In August many people will be receiving their new copy of Sage Accounts 2014. They get it automatically because they have bought Extra Cover from Sage. The disk may well sit in a cupboard for months. This happens for a variety of reasons mainly time and concerns about changing something that works.

It is usually worth waiting a couple of weeks for the early adopters to find any major issues, but Sage's track record with upgrades has been pretty good over recent years.

Why you should upgrade Sage Accounts in July

First of all let me say that I doubt that there is any major benefit to upgrading from 2013 to 2014. Unless you are doing VAT Cash Accounting and want to use Foreign Currency Trading or you work for a Charity that needs to report Gift Aid. Upgrading from 2012 does give you some nice additional features in Stock Control as well  as greatly improved reporting speeds. I personally recommend upgrading if you are on 2011 or earlier. 2010 will go end of life next year which will result in lack of support from Sage and it becomes more expensive to upgrade as Sage will require you to purchase Sage Extra Cover which is nearly double the cost of a normal upgrade.

So what is special about July for upgrades?

1) Sage are increasing their prices by 3-4% from 1st August

2) You get 2013 immediately and 2014 next month. This is valuable if you have 3rd party products. They will almost certainly be compatible with 2013, but may take a while to be tested against 2014. If you do not have a 3rd party product then it is probably best to wait for the 2014 version so that you only need to do one installation session.

3) You still get to take advantage of my personal launch offer of 20% off the standard Sage price

Thinking Outside the box

My wife set a job applicant a task to demonstrate their office skills. She created a list of telephone calls received in time order and asked the applicant to create a spreadsheet in alphabetical order of surname. The applicant had not finished the task in the ten minutes allowed, so my wife had a look over their shoulder...

He was looking down the list of names for the next surname in alphabetical order and then entering the data...

At this point is your reaction:

(a) Well how else would you do it?

(b) Well I would not be employing him!


The way to tackle this task is to enter the list in the order given and then use Excel's Data Sort to put the list in order. This may seem like a trivial problem, but would you want to pay even minimum wage to someone who takes 30 minutes to do a 10 minute task?

So what is this anecdote doing in a Sage blog?

Unlike the unfortunate applicant, I can think outside the box and devise the most efficient processes for your business. If you are not using the most recent version of Sage you could be missing out on new processes, such as automatic submission of VAT returns. If you do have the current version of Sage, are your users aware of all the new features?

Excel and Sage

Sage has links to Excel, especially in the 2013 incarnation.

All listing screens have a "To Excel" button, which is great for ad hoc inquiries.

Many records can be imported from Excel sheets. There are some limitations, but KF Systems has access to programs that can be bought, these extend the range of things that can be imorted from spreadsheets, including Customer Price Lists, Sales Orders and Invoices. 

These are great tools that many users get to know. However, there is much more:

Excel Integrated Reporting allows users to run reports directly into a spreadsheet. It is worth making sure that this is on your Add-ins menu within Excel. If you do not have it you should contact your support provider. KF Systems always include the installation of Excel Integrated Reporting when setting up Sage Accounts

There is a suite of reports that have been already written and provided by Sage. If these are not enough, KF Systems can write one for you.

If you want more than a straight datasheet style report, you can get to grips with ODBC or reporting programs. If this does not appeal, KF Systems are Excel experts and can write any report you may require.

How to save £1000

One of my customers called me the other day. They were a bit worried because the data check showed some errors. I went down to see them and looked at the errors. Unfortunately, one of the errors could not be fixed by the tools Sage provide, so I looked at the backup history and realised that it was a bit sketchy. Just to check, I restored a backup that was a month old. The data check revealed the same error. Now we were heading into an expensive situation. In order to repair the data, it would have to be sent to Sage.

Sage charge non-SageCover customers £395 for standard data repair or £595 for express service. Alternately, they could take out SageCover Extra and get the data repair as part of the cover. This cost them over £1000. There are benefits to SageCover Extra that make this option attractive because you get free upgrades during the life of your contract. Just think twice about whether it is worth renewing.

The lessons to draw from this tale:

  1. Always run the data check when you take a backup
  2. Always read the report
  3. If there are errors contact your Business Partner immediately (warnings and comments are not so important)
  4. Take a backup every day, unless you are doing very few transactions

By sticking to this regime, if you do get data errors, you can easily restore to a good back up and re enter your transactions and save your company £1,000!

I have mentioned before that Sage 50 gives you the opportunity to deliver all of your documents by email. Now it is possible to treat all your purchase invoices as electronic documents that can include the approval process and the data entry process. The original invoices can be sent directly to your archives and all accounting activity is done with the electronic image. Once processed into the accounts program it is associated with the transaction, making it easy to review the original document image at any time.

Consider the time saved when, instead of having to retrieve a piece of paper from a file, the image can be seen instantly on screen. Think about the amount of filing space saved by sending all your purchase invoices directly to the archives, after scanning them.

Sage Accounts Upgrade news

On 30th April 2013 Sage Accounts 2009 and Instant Accounts v 15 go End of Life. This means that they will no longer be supported by Sage and upgrading involves buying Sage Extra Cover. If you have Sage Cover you can upgrade between now and then and get a 20% discount. In this case you should wait until September and get the 2013 version or February 2013 to get v19 of Instant Accounts provided of course that your Sage Cover does not expire! If you do not have SageCover you can get an upgrade any time until 30th April 2013, but if you want to get a 20% discount on the upgrade you need to act by 30th June 2012

On the positive side, there are good reasons to upgrade Quick Search, Quick Print, Email icon, Sage Mobile apps, Accountant Datasets, Bar Code printing (including QRCodes)

So take your pick about when you upgrade but do not let your product go end of life and contact me for a good deal when you do.
